The CollEx-Persée Scientific Interest Group

Issue 104 of Arabesques devotes its thematic dossier to the CollEx-Persée system, describing its functioning, its challenges and its future prospects. We also discover some documentary projects carried out since the creation of the GIS. Many thanks to the contributors of this reference issue!

7th SGB Professional Day

In line with previous mBMS days, this meeting provided an opportunity to take stock of the library management systems on offer in the ESR landscape (see also the"Spotlight on ...." section below) and to share the experience of institutions in the process of re-computing.

Agreement for reporting

The 2022 invoices for the core service of the agreement (Sudoc) and the options (Calames, HPB base, visibility in WorldCat) will be sent at the end of the first quarter. To ensure rapid processing, institutions should send the order form references to the Finance Department ofAbes (abes_bdc[at]abes.fr) before 15 February. The Relations Officers atAbes have been informed of this.

Bibliographic Transition

The call for participation in the "Manifestations and Items" sub-group was well received: members of the BNU in Strasbourg, the Kandinsky Library of the Centre Pompidou and the SCD of the University of Picardie were accepted. Thank you to these institutions for their involvement in the Bibliographic Transition.
We would like to take this opportunity to remind you that the "Persons and Families" sub-group (which is working on the description of relationships between agents, public identities, fictitious characters and collective pseudonyms) would also like to complete its membership with the participation of a representative of ESR libraries. The call for applications has been extended until 11 February 2022.
The public enquiry on Chapter 11 of RDA-EN (Communities) is extended until 25 February 2022.
Chapters 23 to 26 of section 8 of RDA-EN have just been published. They define the various relationships between works and between expressions. Although these relationships can be coded in Unimarc Authorities (subfield $5), this has no impact, for the time being, on the instructions in force in Sudoc, since there are no work or expression records yet.

National licenses

To meet the need of institutions to have an overview of the collections available on a permanent basis within the ESR, the BACON national knowledge base offers new global KBart files. They facilitate both the reporting of corpora acquired under national licences and the analysis of cross-checks between these collections and those present in the institutions

NEW ORCID-FRANCE MEMBERS : in 2022, the ORCID-France community welcomes 6 new institutions: ESSEC, INRIA, the Universities of Bourgogne, Pau and Pays de l'Adour, Rennes 1 and Toulouse Midi-Pyrénées. Welcome to them and their ORCID Correspondents.
NEW DATA PRODUCERS IN IDREF: after their training in the tool and the appropriation of the rules in force in Sudoc, about twenty cataloguers of the University of Liege libraries use or produce the authority data they need to describe their collections, under the coordination of two Authority Correspondents.
THE 5 MILLION RECORDS MILESTONE HAS BEEN REACHED : at the beginning of 2022, there were more than 5.6 million authority records (of which more than 3.5 million were "Natural person" records). The total number of records has increased by 4.6% in one year.

RESEARCH ARCHIVES : on 21 January, the Association of French Archivists published a press release welcoming the place given to research archives in the decree on the respect of scientific integrity requirements by public establishments contributing to the public research service and foundations recognised as being of public utility whose main activity is public research, which will be published in December 2021. The AAF intends to promote the role and expertise of archivists in the collection and preservation of research archives.
APPLICATION TO JOIN THE NETWORK: Institutions wishing to join the network Calames in 2023 are invited to send an official letter of application to the management ofAbes before 15 March 2022.
TRAINING: the online documentation of Calames was redesigned last September. Professional users are invited to discover the new features of this redesign during a J.e-course to be held on 10 March. In early March, a message on the mailing list will open the registration process.

    APPLICATION TO JOIN THE NETWORK: Institutions wishing to join the network Sudoc in 2023 are invited to send an official letter of application to the management ofAbes before 15 March 2022.
    TRAINING : a J.e-course will be offered on 17 March to Cataloguing and Authorities Correspondents, to provide them with examples of how to lead and support a team of cataloguers. A message on the mailing lists will open the registration.

    RAMEAU REFORM" WORKSITE : the 8th workstream devoted to the processing of the Rameau Form or Genre authority "Works before 1800" is completed. Nearly 100,000 bibliographic records with this indexing have been updated (changeover from "Ouvrages avant 1800" to B608).
    CTLES PROFESSIONAL DAY : the Centre technique du livre de l'enseignement supérieur (CTLes) is organising its 9th professional day, entitled "Preserving, sharing and managing physical collections: a review of 25 years of experience", on 5 April 2022, at the Campus Condorcet. This event will be an opportunity to look back on 25 years of services to libraries, presenting cases of CTLes use by partner institutions and other examples of remote storage.

    ANNUAL ACTIVITY REPORTS OF THE RCs : the annual activity report of the centres in the Sudoc-PS network is expected byAbes by 31 March 2022. It is a prerequisite for the payment of the subsidy provided for in the 2021-2023 agreement. Centre managers can consult a document to help them draft the report.
    CIDEMIS : the recording of the J.e-course "Improving the bibliographic quality of records for continuing resources with Cidemis" is available.

    AQUITAINE REGION-WIDE TRAINING PROGRAM: the three Centres of the Sudoc-PS Network (Academies of Bordeaux, Limoges and Poitiers) are offering distance learning courses to the libraries in their areas. On the programme: presentation of Periscope, national licences and the services offered by the three centres.

    A SCRIPT TO TEST THE VISIBILITY OF A THESIS ON THESE.FR: thesis cataloguers will appreciate the use of the new script "AlgoTheses". Available since January 2022 in WinIBW, it allows, from a record or a batch of records of theses displayed on the professional interface, to generate immediately the visibility report on theses.fr. If the quality of this record is not sufficient for display on theses.fr, the report will indicate this, allowing the cataloguer to immediately enrich the record.
    MASS MODIFICATIONS: the Unimarc changes implemented last January introduced new recommendations for data entry in the B029 field and in the notes fields (B3XX) of academic records. In order to comply with these recommendations,Abes has made mass changes to records created before January 2022: data concerning the identification number of exercise theses, authorisations for publication by the jury and confidentiality/embargo statements have been moved to the fields now intended to accommodate them. For new records created from now on,Abes invites cataloguers to carefully apply the new instructions.

    STEP TRAINING: a distance learning session on the STEP application is proposed on 8 March.
